Appointment Booking Systems
Let them book while they are still interested
The gap between "I should call them" and actually calling is where most enquiries die. Booking on the page closes that gap to zero.
From $750 setup. Fixed scope before we start.
What you get
- Booking widget on your site, matched to your real availability
- Two-way calendar sync with Google or Outlook — no double bookings
- Buffer times, travel time, and blackout rules that reflect how you work
- Qualification questions before the slot is confirmed
- Text and email reminders at the intervals that actually reduce no-shows
- Rescheduling and cancellation handled without a phone call
- Every booking tracked as a conversion so you can see what produced it
The problem
Two problems, one system
Friction kills intent. Someone reads your page at 9pm, decides you look right, and hits a contact form. Now they wait until tomorrow for a call to agree a time. Between those two moments they check a competitor who let them pick Thursday at 10 on the spot.
No-shows are the other half. Getting the booking is only useful if they turn up. A confirmation, a reminder 24 hours out, and a reminder the morning of is a boring, well-evidenced pattern that meaningfully reduces empty slots.
The unglamorous detail that matters most: the booking widget must respect your real availability, including drive time. A calendar that books you two jobs 40 minutes apart is worse than no calendar.
How we work
What the engagement looks like
Rules
We map your real availability — service durations, buffers, travel, who does what, and the hours you refuse to work.
Connect
Two-way sync with the calendar your team already lives in, so personal appointments block booking automatically.
Qualify
A short set of questions before confirmation, so you know what the job is before you drive to it.
Remind
Confirmation, 24-hour reminder, morning-of reminder, with easy rescheduling. Fewer empty slots, no phone tag.
Specifics
Where this goes deeper
Online Scheduling Setup
Booking on the site, matched to your real availability and buffer rules.
Calendar Integration
Two-way sync with Google or Outlook so you never double-book.
Reminder Automation
Text and email reminders that measurably reduce no-shows.
Not sure which one you need? Book a call and we will tell you straight — including when the answer is “you do not need this yet”.
Questions about appointment booking systems
Which booking tool do you use?
We use whatever fits — Google Calendar appointment schedules for simple cases, a dedicated scheduling platform when you need routing, deposits, or multiple staff. The tool matters less than whether the availability rules are right.
What if someone books a slot I cannot make?
That is a rules problem, and it is the part we spend the most time on. Buffers, travel time, service durations, and calendar sync all have to be right or the system creates work instead of saving it.
Can I take a deposit at booking?
Yes, on platforms that support payments. It is the single most effective no-show reduction available, though it will reduce raw booking volume — worth testing rather than assuming.
Does this replace my phone?
No, and it should not. Plenty of people still want to talk first. Booking is an additional path for the ones who would rather not call, and those are exactly the people you currently lose.
